Hold on to your coffee cup because I’ve got great news: Canva now has mail merge capabilities! That’s right, you can bulk-create all your postcards or flyers in one go and send them out without any of the tedious, manual work. It’s like Canva just leveled up, and we’re here for it.
Okay, before we dive in, let me explain why this is a total game-changer. Mail merge inside Canva means you can add client names and addresses to your designs automatically. No more typing them in one by one (because who has time for that?), and no more risk of forgetting someone (*cough* sorry about that, Susan).
Instead, you bulk-create everything in one shot, and Canva does the heavy lifting for you. You just sit back, relax, and watch the magic happen. And yes, I’m going to show you exactly how to do it—so grab your list of client names, and let’s get to work!
Step 1: Set Up Your Template
We’re starting with a postcard from The Marque Collective (because …completely unbiased opinion, that’s where all the good stuff is). Whether it’s a flyer, postcard, or ad mail design, the process works the same.
First, we need to set up placeholder text where the client’s name and address will go. Simply add a text box, type in something like “First Name,” and position it where you want it to show up. Repeat this process for “Last Name” and any other info, like the address.
Step 2: Enter Bulk Create Mode
Next, head over to the Apps Tab in Canva and type in “Bulk Create.” It’s as easy as it sounds. You can either manually enter your data (if you have a small list) or upload your data in a CSV file (aka the easiest way if you’re working with a bunch of clients).
If you’re using an email list provider, you can usually export your contact list as a CSV, and it’ll work perfectly. Just make sure your CSV has separate columns for first name, last name, etc. – you get the idea. No more messy, jumbled data.
Step 3: Link Your Data to the Design
Here’s where the magic happens. Once your data is uploaded, Canva will ask you to connect the placeholders you added earlier to the correct columns in your data.
Click on the placeholder for “First Name,” right-click, and choose Connect Data. Select the first name field from your uploaded data, and boom—it’s linked. Do the same for last name (and any other details you’re including).
Canva is about to make your life so much easier.
Step 4: Watch Canva Do Its Thing
Now, all that’s left to do is click Continue, and Canva will start generating all your designs with your clients’ names and details. It’s like watching Canva flex its muscles in real-time. 💪
And just like that, you’ll have beautifully personalized designs for each and every one of your clients. No typos, no stress. You’ll see all the names populated in your design, and you can make any last-minute adjustments if needed.
Step 5: Download and Send It Off
Once your designs are ready, all you need to do is hit Download. Canva will automatically bundle everything into one file—ready to send to the printer without you lifting a finger. And the best part? Both the front and back pages are already included, so no juggling different files or pages.
Boom. You’re done.
